Connect Conference Information

Dates

The Connect Conference will take place from Sunday, October 26th, to Thursday, October 30th, 2025.

  • Arrival and registration: Between 2:00 PM and 4:00 PM on October 26th.
  • Opening ceremony: Starts at 4:00 PM on October 26th.
  • Closing time: 2:00 PM on October 30th.

Accompaniment

For participants attending as a group, we recommend being accompanied by an adult aged 25 or older. The accompanying adult is responsible for the group’s travel to and from the conference. During the conference, their role will be minimal. However, they will serve as a contact person for participants and may be asked to supervise their group at night if necessary.

Accompanying adults are welcome to fully participate in the program—joining workshops, meals, and celebrations, and contributing their skills and ideas just like the participants. We believe in co-creating this event together with everyone involved!

Regarding costs, there is no price distinction between participants and accompanying adults.

Meals

All meals served during the conference will be organic and biodynamic, freshly prepared using locally sourced ingredients whenever possible. Meals will be served on-site.

The participant fee covers all meals provided during the conference. However, it does not include meals purchased during personal travel or time spent off-site. No refunds will be issued for skipped or missed meals.

Drugs and Alcohol Policy

Connect Conference is a drug- and alcohol-free event. The following are strictly prohibited:

  • The use or distribution of drugs
  • The consumption of alcohol at both the conference site and the sleeping accommodations
  • Attending the program under the influence of drugs or alcohol
  • Smoking inside any building (designated smoking areas will be available)

Violating any of these rules or failing to comply with this policy may result in immediate dismissal from the conference.

Copyright and ownership

Route 360 vzw acknowledges and respects the Participant’s customary right to own the rights to the commercial use of artistic or literary works created as part of or related to the Connect Conference. These works include, but are not limited to, music, photos, paintings, drawings, presentations, research papers, and similar materials, with the following exceptions:

  1. Promotional and Reporting Use: Route 360 vzw may use the aforementioned artistic or literary works (if provided to Route 360 vzw in physical or digital form) for the purpose of promoting the Connect Conference and reporting to funders, free of charge. Participants must submit a written request if they wish to exclude specific works from this usage.
  2. Legal and Privacy Exclusions: Any works that, if published, would breach Belgian law or infringe upon the privacy, integrity, or well-being of participants or others are excluded from this use.
  3. Works Created for Route 360 vzw: For works created by participants specifically for Connect Conference’s use, upon Route 360 vzw’s request (such as lecture recordings, promotional videos, and published products derived from them), Route 360 vzw retains ownership and the right to commercial use.
  4. Visual and Audio Materials: Route 360 vzw may use images, videos, and audio recordings taken at the Connect Conference for reasonable promotional purposes across all available platforms (including the Route 360 vzw website, Facebook page without tags, and flyers). These materials may also be shared with Route 360 vzw’s funders as part of a final report. Participants must submit a written request to exclude their image or voice from this usage.

During the event, photos will be taken and may be used for our communication purposes. If you prefer not to appear in these photos, please let us know by sending an email to info@connectconference.be.

Health and Travel Insurance

Participants are required to have appropriate health and travel insurance for the period of the conference. Admission does not guarantee that the participant will be covered for any cost related to health or travel. The participant is responsible for complying with all conditions relating to health and travel insurance.

Belgian Tourist Visas

Depending on their country of origin, participants and accompanying adults may require a tourist visa to enter Belgium. Please note that obtaining a visa involves administrative procedures and paperwork. We recommend contacting the Belgian embassy in your country as soon as possible. If you need any assistance from our side, such as an invitation letter, please don’t hesitate to reach out.

Fees, Costs and Policies

Participation Fee

The Full Participation Fee for the Connect Conference is €290 / €240

This fee covers:

  • Meals: Dinner on Sunday, breakfast, lunch, and dinner from Wednesday to Saturday, and breakfast and lunch on Thursday.
  • Accommodation: Please bring your own mattress and sleeping bag.
  • Materials
  • Entrance: Full access to the conference program.

Financial Flexibility

We do not want financial constraints to exclude anyone from participating. Therefore, we offer flexibility with fees for certain groups or participants.

If you are unable to pay the Full Participation Fee, we invite you to apply for a Reduced Participation Fee by emailing info@connectconference.be. The reduced amount will be negotiated individually.

If you are able to pay the Full Participation Fee, we kindly ask that you refrain from requesting a reduction. By paying the Full Participation Fee, you help enable others to attend and contribute to making the conference a truly diverse and intercultural event!

Pricing

  • €290: For participants from Belgium and neighboring countries (The Netherlands, Germany, France, and Luxembourg).
  • €240: For participants from other countries further away.
  • €350 – Support Ticket: By choosing this option, you directly help other participants facing financial constraints join the conference.

We strongly believe that financial barriers should not prevent participation. If the fee is a concern, please don’t hesitate to contact us. We will work together to find a suitable solution.

How and when to pay the Participation Fee?

Once you have filled out the registration form on our website, an email will be sent to you. This email will contain the Terms and Conditions and an Individual Registration Form. The Individual Registration Form needs to be printed, filled out and signed by every participant individually. Please send it back to us via email or post. Furthermore, this email will state the amount due for your Participation Fee. This amount has to be transferred to our account within three weeks after you receive this email unless otherwise stated.

If you are participating as a group, we ask that your group pays in a single transfer. This makes it easier for us to manage our finances as we will be welcoming many participants.

Once we have received both the Participation Fee and the Individual Registration Form(s), you will receive a confirmation email.

Please note: Route 360 can not accept checks.

Please note: Any additional fees or costs (outgoing/sending or incoming/receiving) incurred during the transfer of money to Route 360 vzw are to be payed by the debtor (the person paying). Any fees of this nature should be specified by your bank. Route 360 cannot accept any payment as being in full unless the correct amount in euros is credited to us. Please contact your bank for information on transfer fees and costs.

Refund

If, for whatever reason, after paying the participation fee you decide that you do not wish to participate in the conference, we will not be able to refund your Participation Fee. Exceptions can be made for medical reasons (subject to medical report).
